How Many Coffee Drinks Per Guest Should You Plan For?

The general rule: plan for 70–80% of guests to order a drink. For morning events, plan higher. For evening events after a meal, plan slightly lower.

  • For morning corporate events (8am–11am): plan for 80–90% of guests to order. Coffee is the draw.
  • For midday events (11am–2pm): plan for 65–75%. Not everyone will want espresso after lunch.
  • For evening events and wedding receptions: plan for 50–70%. A coffee bar is a special touch, not the main beverage service.
  • Always build in 10% buffer. Running out of coffee at your event is memorable for the wrong reasons.

How Early Should You Book a Coffee Cart?

Popular dates — particularly spring and fall Saturdays — book out 6–8 weeks in advance. Corporate weekday events have more flexibility.

  • Wedding coffee bars: book 6–8 weeks minimum. Saturdays in May, June, September, and October fill first.
  • Corporate events: 2–3 weeks is typically sufficient for standard setups.
  • Large conferences or multi-day events: reach out 4–6 weeks ahead to ensure staffing and logistics.
  • Holidays and year-end corporate parties (November–December): book early. These are our busiest weeks of the year.

Indoor vs. Outdoor Coffee Cart Setup: What You Need to Know

A mobile coffee cart can set up almost anywhere — but indoor and outdoor setups have different requirements. Here's what to plan for.

  • Indoor setups: we need access to a standard 110V outlet within 15 feet. Space requirement is approximately 6×6 feet minimum.
  • Outdoor setups: we can work without power using our generator setup (additional fee applies). Weather backup plans are essential.
  • Tent coverage is recommended for outdoor events — both for the equipment and guest comfort.
  • Venues with tight doorways or elevator-only access: let us know in advance so we can plan accordingly.

  • Always include a plain latte with multiple milk options — it's the most ordered drink at any event.
  • Add a decaf option. A surprising percentage of your guests will want it.
  • Include at least one non-coffee option (matcha, hot cocoa, or tea). Not everyone drinks coffee.
